Remembers. Knows. Warns.
Nothing happens by accident, and you always know what happened. Six things the system does for you.
Who did what — and when
Every requester has a history: their requests with you, the cases flagged for review, the blocks. The view you choose — list or schedule — is waiting for you next time on the same device.
- 01 · The log
Writes itself
Every decision, edit, download and refused sign-in stays in the organisation’s log. Who, what, when.
- 02 · The term
24 months
Entries are kept for two years. Enough to find out who changed the hours last winter.
- 03 · The filters
You find exactly that
The main administrator filters by period, action and user and exports the log. The export itself is logged too.
What is waiting today — by your role
The menu counts what needs a decision and refreshes by itself, without reloading. The schedule shows the working hours, breaks, absences and closed days.
- 01 · Main administrator
Sees everything
The pending requests, today, what needs attention, how the week is going — and system notes only they see.
- 02 · Administrator
The same Home, without the system notes
Decides the requests and sees what needs attention. Nothing from the system’s settings distracts them.
- 03 · Specialist (Лице)
Only their own
The pending appointments, today and the week — from their own calendar. Nobody else’s.
Before you confirm, you see who is affected
Deactivating a hall, changing the hours, adding a closed period or stopping a service — the window opens at once and the list of affected requests fills in. Suspicious requesters are flagged; nothing is blocked by itself.
- 01 · The window
Who is affected
You press “Deactivate” on “Sports hall”. The window says: 1 pending request will be declined, 2 approved – cancelled; people get an e-mail.
- 02 · Meanwhile
A new request arrives
While you read, someone requests the same hall for Saturday. The system catches it — and your window still shows three.
- 03 · The check
Nothing has been done
You press “Confirm” — but the list is no longer the same. The window shows the new list in place and asks again.
- 04 · Confirmed
Four notes, four e-mails
The pending requests are declined, the approved ones cancelled, each with a note why. People get an e-mail; your screen says so.
One decision, one e-mail
Every action that affects requests first shows which ones. Buttons lock while the action runs. Only the main administrator deletes a place, a person or a user.
- 01 · The same moment
Two people decide at once
Maria presses “Approve”, Georgi “Decline”, on the same request.
- 02 · One wins
The other sees who and when
The request is approved. Georgi sees that Maria decided first, and at what time. One e-mail goes out.
- 03 · Two editors
Nothing is overwritten
Maria changes the hall’s address, Georgi writes a description. Whoever saves second sees who changed what; what they typed stays in the fields the colleague did not touch.

You receive this message as the contact e-mail of North Sports Centre (Settings → Contact e-mail).
The system noticed unusual requests. Nothing was blocked automatically — review them and decide.
- 7 different e-mails from one IP address (203.0.113.24)
- [email protected] is at the limit of upcoming slots (3 upcoming)
You receive this message as the contact e-mail of North Sports Centre. At most one a day.
People get an e-mail when the request is received, decided or cancelled, a reminder the evening before, and a link to cancel themselves until the slot begins.
The team gets every new request by e-mail and, once a day, a short summary if there are suspicious cases.
Every action you take gets an answer on the screen. If a mail after a module was switched off did not arrive, the people are on a “Not notified” list.
On the phone and on the computer alike
The whole panel works on a phone: Home, the decisions, the schedule, the settings.
- 01 · The same screen
Two shapes, one panel
Requests on the computer — with the side menu. Requests on the phone — with a bar at the bottom, by role: up to four items and “More”.
- 02 · The same decision
Wherever you are
You approve from the phone. Open the panel on the computer and the card is already approved.
Three questions on the topic
What if two people decide one request at the same time?
One decision wins. The other sees who decided and when. One e-mail goes out.
What happens to requests if we close a hall or change the hours?
Before you confirm, you see exactly which requests are affected. Waiting ones are declined, approved ones that haven’t started are cancelled — with a note saying why and an e-mail to the people. Nothing is deleted.
In detailWhat if something is deleted by mistake?
Most things aren’t deleted but deactivated or cancelled. Besides, every day we keep an encrypted copy of the data, apart from the system, for 30 days; if needed, we restore from the last copy. The restore has been tested.
