For public institutions

Halls and office hours online

For municipalities, administrations, ministries and agencies. Citizens pick a time, staff approve.

One day

Everything comes together in one calm day

Municipalities, regional administrations, ministries, agencies and other bodies of the state administration. Citizens ask for a hall, a pitch or an office hour on the website, and your team sees the day in time order.

ZPPI

ZPPI meetings — in the same system

Under ZPPI, meetings of obliged persons with representatives of interests are recorded and published. Reserva helps keep the record for every obliged organisation — from the booked slot to the public page.

  1. 01 · Draft

A draft from the booked slot

When a confirmed appointment with an obliged person has passed, the system creates a draft with the date and time by itself. A meeting that wasn’t booked online is added by hand.

  2. 02 · Deadline

    A deadline and reminders

The record is entered by the end of the third day after the meeting. A reminder comes on the first and second day, and after the deadline a notice goes to the people responsible. A missed deadline shows in red in the menu.

  3. 03 · Review

    Reviewed by staff

The person or a ZPPI staff member fills in the topic, the draft act and the participants. On entry the system checks the required fields. A meeting that isn’t under ZPPI is marked and not published.

  4. 04 · Record

    The record is kept

Entered records are ready to be entered in the register. Every step stays in the log, and ZPPI records are kept longer than ordinary requests.

  5. 05 · Public

A register of meetings on your site

Published meetings are shown on the “Meetings under ZPPI” page: date, topic, draft act and the participants — from the institution with name and position, representatives with organisation and register number. No e-mails or phone numbers are published.

What’s included

  • The main administrator marks which people are obliged. Each has their own calendar for meetings.
  • Records are kept by the obliged person and the ZPPI staff.
  • A public “Rules for personal meetings” page — how to ask for a meeting.
  • The system doesn’t accept an e-mail or a phone number in the public fields.

Accountability and security, without extra work

Accountability

  • An action log: who decided what and when, with export for the main administrator.
  • Stats for places and for people, with export to Excel.
  • Every staff member with office hours keeps their own calendar and signs in with their own account.

Security and documents

  • Sign-in with a password and a code from the phone for every staff member.
  • Data in the European Union, separate for each organisation, with an encrypted copy every day.
  • Under contract: a description of the measures, a data processing agreement and help with audits.
The network and information security ordinance

The system is built with the Bulgarian ordinance on minimum network and information security requirements in mind — with mandatory two-factor sign-in, separate data for each organisation, an action log and encrypted daily backups.

How we protect the data
Questions

Three questions on the topic

All questions and answers
Is the data safe?

Yes. Only authorised staff have access, signing in with a password and a code from their phone — and for support, only our team, with downloads of the log recorded. Actions in the panel are logged, and the data has an encrypted backup every day. Under contract with a public body we provide a description of the measures and a data processing agreement.

In detail
What happens to requests if we close a hall or change the hours?

Before you confirm, you see exactly which requests are affected. Waiting ones are declined, approved ones that haven’t started are cancelled — with a note saying why and an e-mail to the people. Nothing is deleted.

In detail
How long does it take to start?

Our part of the setup takes days, not weeks. We create the system, the address and the theme; you add your places or people and the working hours.
